HubiCare

Minnesota CCAP providers

The DCYF attendance file, ready to check and download.

Licensed Minnesota centers that take CCAP must put enrollment and attendance into the Provider Hub. HubiCare keeps the electronic daily record at the door and builds the Hub's import file for each billing period, so the upload is a check and a download, not a week of typing.

Attendance → DCYF files: the Provider Hub attendance file for one billing period, checked before you download it.

What you get

What the DCYF file screen does

  • DCYF's own template

Child name and date of birth, time in and out, and the full name of the adult who signed, in the column headers the Hub's import expects.

  • Checked before you download

Missing sign-outs, a date of birth not on file, or a door tablet still sending yesterday's events are listed first, so the file goes in clean.

  • Who signed, every time

Every door event records which adult signed, how, on which device and when; corrections keep the original and the reason, as DCYF expects.

  • The enrollment file too

The Hub's household and enrollment import file in the same template, with guardians and relationships, from the same records.

How it works

From the door to the Hub

  1. Record attendance at the door

Families sign in and out on the tablet with their code; the record shows the time and the person. Paper is not needed.

  2. Choose the billing period

On Attendance → DCYF files, pick the two-week period. HubiCare lists what to fix, then builds the CSV.

  3. Download, then upload in the Hub

You download the file and upload it in the Provider Hub's Import Attendance, within DCYF's deadline. HubiCare never sends it for you.

Questions

Questions about the DCYF file

Does HubiCare send attendance to DCYF?
No. The director reviews the file, downloads it and uploads it in the Provider Hub. HubiCare is not one of the vendors integrated directly with the Hub.
What if a family forgot to sign out?
The check lists the row. The director corrects it with the real time; the correction keeps the original entry, who changed it and when.
Which sites see the DCYF files screen?
Sites licensed as Minnesota child care: a center under Rule 3 or chapter 142H, or family child care under Rule 2. Schools and other programs download attendance from Reports instead.
